• Coordinating with different Departments ,maintain records and follow-up files of purchases. • Manage all communication for purchase orders with vendors and analyze all communication for same and resolve all purchase issues and coordinate with accounts to process all invoices. • Monitoring and managing supplier performance .Inform department heads of new sources of supply. Expedite supply of critical items. • Assist in preparation of bidding documents, comparison, service request and ensure that other documentation is in order • Verifies purchase requisitions by comparing items requested to master list, clarifying unclear items , recommending alternatives using (CONTRAKSOFT) • Keeps information accessible by sorting and filing documents (Credit Application forms, LPO’S, Item codes, Confirmation Letters, Supplier’s Files). Maintaining purchase files on all orders. • Prepare purchase orders and send copies to suppliers and to departments originating requests. • Respond to customer and suppliers enquiries about order status, changes or cancellations. • Answer telephone and give information to callers, take messages, or transfer calls to appropriate individuals. • Maintains customer confidence and protects operations by keeping information confidential. • To keep track and updated for daily office task.Prepares reports/comparison by collecting information. • Attending meetings and trainings as required. • Ensuring compliance to company Purchasing Guidelines and systems. • Secretarial duties as assigned.
